Starting from 2022/23 academic year, degree/postgraduate diploma will be issued after the conferment of degrees at scheduled sessions below:

(2) 31 March
(3) 31 May
(4) 31 July*
(5) 15 October
* Subject to the approval by the University Council, the date in July may be changed to 15 July starting from 2025/26 academic year.
Each graduate (except those from some special degree and diploma programs) will be issued:
- ONE copy of the Degree Diploma in paper and electronic version (JSON format)
- ONE free copy of the Academic Transcript in paper and electronic version (JSON format)
- ONE free copy of the Award Certification Letter in electronic version (JSON format)
The detailed arrangement of collection will be sent to graduates in writing near the time of distribution. The collection details can be found below.
Before collecting the documents, graduates should settle all fees (e.g. tuition fee, medical insurance fee, library fines, etc.), submit all required information (e.g. visa survey) and return all belongings (e.g. PRS handset, etc) owed to the University. At least five working days should be allowed for the clearance procedure.
The Degree Diploma Package can be collected by the following means:
** The Smart Locker will be suspended from 6 October to 20 October 2025 and 3 November to 8 December 2025 for diploma collection for Class of 2025. **
Graduates may submit an online request to have their diploma package collected from the Smart Locker located at Room 1381, 1/F, Academic Building (Lift No. 17-18), HKUST. The Smart Locker operates 24 hours a day, 7 days a week. Once a request is accepted, collection should be made within the assigned collection period as stipulated in the confirmation email, which is normally 3 days after the documents are placed in the locker.

To request the documents be sent by registration service, graduates may submit an online request to the Academic Registry. The University does not bear the responsibilities for any loss or damage during delivery.
To facilitate the collection of the diploma package for Class of 2025, the Academic Registry accepts walk-in collection period of 20 October to 5 December 2025. Alternatively, graduates may collect the diploma package on the days of graduation ceremony in person or by representative.

In Person - Graduates will be required to present their identification document (e.g. HKID card / Passport) upon collection.
By Representative - Representatives will be requested to present the printout of the completed “Authorization Form” (Form AR-1), a copy of the graduate’s identification document, and the representative’s own identification document.
