Guide for Managing Course Coordinator Information in the SIS

There is a new feature in the SIS that allows users to manage course coordinator information. Users who have access to the "Supplementary Class Info" functions will be able to access or update course coordinator information. The following functions are available:

 

Maintain Course Coordinator

  1. Navigate to "Main > Curriculum Management > Supplementary Class Info" in the SIS menu.
  2. Access the "Maintain Course Coordinator" function.
  3. Use the search function to find a specific course by entering criteria such as Term (e.g. 2410 for 2024 Fall), Subject Area (e.g. ACCT), and Catalog Nbr (e.g. 1010).

  4. Once the course is found, update the course coordinator information. If the course has only one instructor, the system should automatically assign that instructor as the course coordinator by default. For courses with multiple instructors, you can assign the course coordinator by entering the staff's User ID (i.e. ITSC Account) or by using the search option by clicking the magnifier glass icon to find the person.

  5. The search result can be filtered by User ID, Email Address, Name, and Class Instructor.

  6. A warning message will be displayed if the selected person is not the course instructor. The warning message simply acts as a reminder; you can still save the record by pressing the "Save" button.
  7. After updating the details, remember to press the “Save” button to save the course coordinator. To remove the course coordinator, click the “-“ button and then save.

 

Upload Course Coordinator

  1. Navigate to "Main > Curriculum Management > Supplementary Class Info" in the SIS menu.
  2. Access the “Upload Course Coordinator" function.
  3. Use the downloadable CSV file template to upload course coordinator information in batch. (Click 'Sample File' link to download the template)
  4. Open the CSV file using Excel, input the course coordinator details,  and save the file in CSV format.
  5. Click the “Upload” button to upload the file. You will be able to verify the data before finalizing the upload. If the preview data status shows “Error”, the upload cannot be saved. 
  6. Once the data is verified, click “Confirm” to save the data to SIS.

 

View Course Coordinator

  1. Navigate to "Main > Curriculum Management > Supplementary Class Info" in the SIS menu.
  2. Access the "View Course Coordinator" function.
  3. Apply specific filter options to view course coordinator records, such as “No course coordinator”, “Course coordinator has left the university”, and “Course coordinator is not one of the instructors”.
